POSITION Summary:
To provide practical assistance to staff, ministry leaders and the congregation of Christ Church to enable them to perform their ministries. To provide a warm and efficient office environment for staff, ministry leaders, volunteers and visitors from the congregation and community.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Provide administrative support to the Ministry leaders: includes all communications (phone messages, written letters and memos, sermons, teaching materials, etc.)
- Maintain overall attendance numbers for the church and submit to the Operations Support Manager by 8:30 am on Monday mornings
- Coordinate all travel arrangements including flights, car rentals, hotels, directions, itineraries, etc. for all ministry staff in accordance with church policies and vendors
- Coordinate and manage all calendar appointments as needed
- Reconcile and process Christ Church credit card summaries for the location, as needed
- Work with pastoral staff to coordinate and plan future events
- Submit calendar items for events through church database software
- Maintain the security of confidential information
- Provide administrative tasks such as answering phones, filing, copying, general office duties, etc.
- Coordinate supplemental financial functions with the Finance Director as needed
- Direct people to the proper resource – a ministry or an individual
- Maintain Database of Church History including deaths, memberships, marriages, baptisms and dedications, ordinations and positions of pastor
NON-ESSENTIAL FUNCTIONS:
- Attends all required training, in-service, and staff meetings
- Maintains a positive and professional demeanor towards co-workers, vendors, and guests
- Adheres to all policies and procedures of Christ Church
- Performs other duties as assigned
QUALIFICATIONS:
- A High School Diploma or General Education Degree; or one to three months related experience and/or training; or equivalent combination of education and experience
- Excellent communication skills and positive and welcoming demeanor
- Competent in Microsoft office including Word, Excel, Publisher, and Outlook
- Able to multi-task effectively
- Must be detail oriented and self-motivated
- Must be competent in working independently and also as a member of a team
- Possess ability to support multiple staff members proactively
