RULES FOR GUEST USE OF FACILITIES OF CHRIST CHURCH LAKE FOREST (“THE CHURCH”)

Scheduling

Before any guest use may be scheduled, approval must be secured through the calendar administrator and the Operations Director and the date must be cleared on the Church calendar. Please complete the online application, here. Your application will be evaluated and someone will get back to you in one week or less. Once approved, an applicant shall for purposes of these Rules be referred to as “Guest”.

Facility Use

Guest may use the Church’s facilities only for events consistent with the Church’s religious purposes. In addition, all usage of the Church’s facilities and conduct of individuals while using the Church’s facilities must conform to such practices as are consistent with Christian custom and Church policy.

Room Setups

All room setups will be coordinated through the calendar administrator and the Facilities Director. Some rooms have been designated with a standard room setup.  The Facilities Director will provide Guest with the details of the standard for these rooms.  All other rooms will be set up to the degree possible with existing church furniture.  Renting of any additional furniture needed will be the responsibility of the Guest.

Musical Equipment

Permission to use any musical equipment must be granted by the Pastor of Worship and Arts. If Guest wishes to have instruments tuned, they will be tuned at Guest’s expense by a craftsman approved by the Pastor of Worship and Arts.  Instruments cannot be moved except by permission from the Facilities Director, in cooperation with the Worship and Arts Ministry.

Tech Needs

Any A/V needs must be discussed with the Tech Coordinator and scheduled at same time as the room reservation. An approved A/V tech must be present for use of or connection to Christ Church’s equipment.   There are fees associated with this service.

Decorations

Concerning decorations: No nails or wires shall be used to mount decorations.  All decorations shall be mounted using gaffers tape or other non-damaging substance.  Any unusual decorations/arrangements must be cleared with the Facilities Director prior to the event.  All decorating must be removed immediately and completely following the event.

Alcohol and Drug Use

The serving, consumption, or use of alcoholic beverages, marijuana, or narcotics shall not be permitted at any time on the Church premises. No smoking is permitted inside the Church’s facilities.  Smoking outside the Church’s facilities shall not be permitted within 25 feet of any entrance to the Church’s facilities consistent with City of Lake Forest policies.  Violation of these policies is sufficient grounds for a staff member to immediately withdraw Guest’s use of the Church’s facilities and/or to deny use in the future.

Gambling

Church policy prohibits the use of games of chance or gambling on the Church premises. This would include such activities as raffles or lotteries.

Obstruction

The sidewalks, halls, passages, and stairways shall neither be obstructed by Guest or Guest’s event attendees nor be used for any purpose other than for ingress to and egress from the Church’s facilities.

Safety

The halls, passages, entrances, stairways, and roof are not for the use of the general public and the Church shall in all cases retain the right to control and prevent access thereto of all persons whose presence, in the judgment of the Church may be prejudicial to the safety, character, reputation and interests of the Church.

Theft or Damage to Personal Property

The Church works to maintain a safe and secure environment within the Church’s facilities, however no systems are foolproof. We ask that all users pay close attention to personal property and valuables, not leaving them unattended. The Church is not responsible for theft or damage to personal property.  In connection with Guest’s use, Guest assumes full responsibility for protecting the Church’s facilities from theft, robbery, and pilferage including, without limitation, keeping doors locked and windows and other means of entry closed during Guest’s use.

Child Protection Policy

The Church has adopted a child protection policy for children and youth. All users of the Church’s facilities are expected to follow the guidelines of this policy, highlights which include but are not limited to the following:

  1. No fewer than two adults must be present at all times during any program or event involving children. For the protection of workers and children, workers should never be alone with children.
  2. Discipline, never physical, should be administered to the degree needed to maintain control while showing love and acceptance.
  3. Appropriate touching is always the rule; providing a warm, caring environment in which children can learn and grow.

Copies of the complete child protection policy are available by contacting the Children’s Director.

Nursery Rooms

The nursery rooms are available by arrangement at least two weeks prior to the event by contacting the Children’s Director. Our safety standards require that two nursery care providers must be present to operate the nursery. Details concerning the guidelines for nursery operation are contained in the Church’s child protection policy.

Hours of Availability

The Church’s facilities are generally available during the following hours on a not to interfere with scheduled church functions basis:

Monday through Friday from 8:30 AM through 9:00 PM.

Saturday’s from 9:00 a.m. through 1:00 p.m.

The building must be completely cleared not later than 9:00 p.m. to allow setup/security personnel to perform their assignments.

Emergency Use

The Church reserves the right to preempt any facility use for its own in cases of emergencies, such as funerals. Notice will be provided as early as possible.

Recycling

Appropriately marked receptacles for recycling are located throughout the building, as well as outside on the west side of the south Christ Churching lot. Guest is responsible for disposal of recyclable trash in the designated containers.

Storage

There is no excess storage available for Guest and, as such, to the extent applicable, Guest will be responsible for storing props and accessories offsite.

Parking

Parking on the Church’s facilities is available only during the period of time that Guest has contracted to use the Church’s facilities. Parking is available on a first-come, first-served basis and excludes certain spots specifically reserved or otherwise designated.  Any damage to vehicles is at the expense of Guest or Guest’s event attendees; the Church is not responsible for theft or damage to personal property.

Damages

Guest shall exercise reasonable care and judgment while using the Church’s facilities in order to prevent defacement, damage, or breakage and shall be responsible for paying costs incurred by the Church in cleaning, repairing, or replacing any part of the building or its furnishings and equipment which in the judgment of the Facilities Director has been carelessly or irresponsibly subjected to more than normal wear and tear by the persons or group involved. Guest shall fully defend, indemnify and hold harmless the Church, its directors, officers, volunteers, employees and other representatives, from any and all demands, claims, actions, suits, judgments, proceedings, liabilities, costs, losses, damages and expenses (including, without limitation, court costs and attorneys’ fees), which may arise out of or in connection with the use of the Church’s facilities by Guest and Guest’s event attendees.

Insurance

Guest must provide comprehensive general liability to cover its group activities while on our premises. You must provide a Certificate of Liability Insurance, at least two weeks prior to the event, listing Christ Church of Lake Forest, 100 N Waukegan Rd., Lake Forest, IL 60045 as an Additional Insured. The certificate must indicate limits of coverage, general liability insurance of at least $1,000,000 per occurrence and $3,000,000 in the aggregate.  Guest shall provide a new certificate of such insurance coverage to Owner prior to or immediately upon expiration or cancellation of any previously-evidenced policy.  Your group agrees to indemnify and defend Christ Church of Lake Forest, its officers, directors, employees, or agents from and against any claims or liabilities for injury, loss or damage caused by negligent acts on the part of your group, employees, or its agents. Your group agrees to fully repair or replace any church property damaged or destroyed as a result of your group’s use and to compensate Christ Church of Lake Forest for any property removed from the premises by your group’s employees, agents, group members or guests.

Liability

In connection with Guest’s use, Guest, for and on behalf of Guest and Guest’s event attendees, waives, releases and discharges the Church, its directors, officers, volunteers, employees and other representatives, from any and all liability, claims, demands, or causes of action that Guest and Guest’s event attendees may have for injuries or damages arising out of Guest’s use. Guest, for and on behalf of Guest and Guest’s event attendees, further agrees not to sue or make any claim against the Church, its directors, officers, volunteers, employees and other representatives, for damages or other losses sustained as a result of anyone’s participation in Guest’s use.

Termination

In the event that Guest or Guest’s event attendees shall violate any of the Rules, the Church at its option shall have the right to terminate Guest’s use of the Church’s facilities upon reasonable notice. The Church has the right to make such other rules and regulations as in its reasonable judgment may from time to time be needed for the safety, care, and cleanliness of the Church’s facilities and for the preservation of good order therein for the benefit of all occupants.  In case of doubt or uncertainty by Guest about the application or interpretation of these rules, or in our customary practices not specifically mentioned here, the pastors or elders of the Church, or their designated representative, shall decide the matter and Guest and Guest’s event attendees shall abide by the decisions rendered or immediately forfeit the use of any part of the Church’s facilities.
