POSITION SUMMARY:

To provide administrative assistance to the campus pastors at Highland Park and Lake Forest to enable them to perform their ministries. To provide a warm and efficient office environment for staff, ministry leaders, volunteers and visitors from the congregation and community.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Provide administrative support to the campus pastors at HP and LF: includes all planning and communications (phone messages, written letters, memos and emails, sermons, teaching materials, etc.)

· Coordinate and manage all calendar appointments.

· Work with pastoral staff to coordinate and plan future events – including catering, invitations/rsvp’s, decor and CCB, CSR functions, i.e., current database or communication systems.

· Participate in CCB (database) team meetings, and function as a team member with the group.

· Maintain the security of confidential information.

· Reconcile and process Christ Church credit card summaries/expense reports.

· Coordinate all travel arrangements including flights, car rentals, hotels, directions, itineraries, in accordance with church policies and vendors.

· Provide administrative tasks such as answering phones, filing, copying, sorting mail, general office duties, ordering of supplies, etc.

· Serve as onsite point person for calls or walk-in ministry related questions; maintain comprehensive class and event listing to direct people to appropriate leaders or ministries.

· Coordinate supplemental financial functions with the Finance Director as needed.

· Coordinate and resource the adult classes and ministries at Highland Park and Lake Forest (Women’s and Men’s studies/events, Marriage and Parenting, Affinity and Care Groups, MOPS, etc.) Occasionally working with other campuses as needed.

· Assist in the maintenance of database for congregational updates: including deaths, memberships, marriages, baptisms and dedications, ordinations, and positions of pastor.

NON-ESSENTIAL FUNCTIONS:

· Attends all required training and meetings (staff, one-on-one, team, etc.)

· Maintains a positive and professional demeanor towards members, co-workers, vendors, and guests.

· Adheres to all policies and procedures of Christ Church.

· Performs other duties as assigned.

· Bachelor’s degree preferred.

· Proven ability to anticipate administrative needs.

· Strong interpersonal skills.

· Effective communicator, both written and oral.

· Very strong organization and management expertise.

· Task oriented. Motivated and energized by achieving results.

· Demonstrates initiative in making processes better and anticipating upcoming needs.

· Sufficient understanding of Word, Excel, PPT, and Google Drive.
